All reservations are subject to availability. A booking is considered confirmed only when:

• written confirmation has been issued by Sambora, and
• the required deposit has been received.

Accommodation held without deposit payment remains provisional and may be released without prior notice.

A non-refundable deposit equal to 25% of the total booking value is required to confirm every reservation.

Payment of the deposit constitutes acceptance of these Booking Terms & Conditions.

The remaining 75% balance is due no later than 60 days prior to arrival.

Once a reservation reaches 60 days before arrival, the entire booking value becomes immediately due and payable, irrespective of whether the balance invoice has already been settled.

By confirming your reservation you acknowledge that:

• the full booking value becomes contractually payable at the sixty-day threshold
• failure to make payment does not cancel the reservation
• cancellation after this point does not remove your obligation to pay the outstanding balance.

Where payment has not been received by the due date, Sambora reserves the right to:

• suspend or cancel the reservation
• release the accommodation for resale
• invoice and recover all outstanding amounts
• recover reasonable legal, banking and administrative costs where permitted by law.

The resale of accommodation does not reduce the Guest's liability for the outstanding booking value.

Because Sambora is a small luxury lodge with limited accommodation, cancellations significantly affect our ability to accommodate other guests.

Requests to amend travel dates, room types, guest names or length of stay remain subject to availability.

Changes may result in revised pricing where seasonal rates differ.

Gorilla trekking permits are administered by the Rwanda Development Board (RDB).

• Unless specifically stated, permits are not included in accommodation rates.
• Permit availability cannot be guaranteed until confirmed.
• All permits remain subject to RDB terms and policies.
• The minimum trekking age is currently 15 years.

Maximum occupancy is generally two adults and one child per suite.

Early arrival and late departure are subject to availability.

Advance notice of dietary requirements is appreciated.

Whilst every effort is made to accommodate individual needs, we cannot guarantee an allergen-free environment.

We strongly recommend comprehensive travel insurance covering:

• Cancellation
• Medical treatment
• Emergency evacuation
• Travel disruption
• Personal belongings

We ask all guests to show respect towards fellow guests, our staff, local communities, wildlife and the environment.

Sambora reserves the right to terminate a stay, without refund, where behaviour is abusive, dangerous or unlawful.

Smoking and vaping are permitted only within designated outdoor areas.

Guests remain responsible for any damage caused by themselves or members of their party.

Sambora shall not be liable for any failure or delay in performing its obligations where that failure or delay results from events beyond its reasonable control, including but not limited to severe weather, volcanic activity, natural disasters, epidemics or pandemics, government restrictions or travel advisories, strikes or industrial action, failure of utilities or telecommunications, or acts of civil or military authority.

In such circumstances Sambora will make reasonable efforts to offer alternative dates. Any refund remains at Sambora's discretion and subject to costs already incurred.

Where Sambora arranges helicopter transfers, flights, park permits or external experiences on a guest's behalf, these services remain subject to the relevant supplier's own terms and conditions.

Personal photography is warmly welcomed.

Commercial filming and drone use require prior written approval.

Personal information is processed solely for administering reservations and delivering hospitality services, in accordance with Sambora's Privacy Policy.

To the fullest extent permitted by law, Sambora shall not be liable for any indirect, incidental or consequential losses, including loss of enjoyment, missed connections or additional travel costs, arising from circumstances beyond its reasonable control.

Nothing in these Terms excludes or limits liability for death or personal injury caused by negligence, or for any other liability that cannot lawfully be excluded.

Approved refunds will normally be returned to the original payment method.

Applicable banking charges, card processing fees and foreign exchange differences may be deducted.

These Terms are governed by the laws of the Republic of Rwanda.

Payment of the booking deposit confirms that the Guest has read, understood and accepted these Booking Terms & Conditions.

It further confirms agreement that once the reservation reaches 60 days before arrival, the entire booking value becomes immediately due and payable, irrespective of whether the balance invoice has already been settled, and that cancellation or non-payment after this point does not extinguish the Guest's contractual liability for the full booking value.
